1 \u2013 BOOKINGS AND PAYMENT<\/strong><\/h2>\n\n\n\n

1.1. General Information<\/strong><\/h3>\n\n\n\n

All bookings are handled by the Eastern Routes team of Travel Advisors (by email or telephone) or via our websites. Bookings are finalised only upon payment and the completion and receipt of the Participant Information form.<\/p>\n\n\n\n

1.2 Booking Confirmation, Deposit and Modes of payment:<\/strong><\/h3>\n\n\n\n

a. Eastern Routes will provide via email the Travel Itinerary, the Booking Confirmation document with our bank account and payment method details, and the deposit amount required to secure your booking plus the booking terms and conditions.<\/p>\n\n\n\n

b. Eastern Routes will email the Participant Information form, which must be completed by the customer and submitted to Eastern Routes by email.<\/p>\n\n\n\n

c. A deposit of 50% of the total amount of the booking must be paid by international bank transfer or credit card payment online via our bank\u2019s payment portal within 7 days of the issuance of the Booking Confirmation. If the deposit is not received by Eastern Routes within this time, the booking may be cancelled without notice.<\/p>\n\n\n\n

Caution<\/strong>: In India, a hotel reservation is confirmed only by making an advance payment to the hotel. We pre-reserve your first choice of hotel in each destination (subject to availability); these pre-reservations are generally valid for 8 days. Flight and rail availability is also limited on many of the popular sectors in India and tickets can only be confirmed with payment in full. We kindly request that you pay the 50% deposit quickly to give us the best chance of confirming your first choice of hotels and transport sectors.<\/p>\n\n\n\n

d. Credit Card Transactions. Eastern Routes accept Visa and Mastercard credit card payments via our online payment portal. If for any reason, any travel service provider is unable to provide the services for which you have contracted, your remedy lies against that provider, and not against Eastern Routes and in the event that payment has been made to Eastern Routes by credit card, you agree that you will not seek to charge back your payment to Eastern Routes.<\/p>\n\n\n\n

e. After Eastern Routes receive the 50% deposit and confirm your reservations, you will receive an invoice showing the receipt of the deposit and the remaining balance (50%). Please be aware that international bank transfers can take between 48 hours and 15 days to process.<\/p>\n\n\n\n

f. The outstanding balance of the invoice is to be paid to Eastern Routes at least 21 days prior to arrival in India by bank transfer or online credit card payment. In some cases, such as group, conference or incentive bookings the balance will have to be paid 1 month prior to arrival.<\/p>\n\n\n\n

g. For all bookings where travel is within 21 days, full payment is due immediately at the time of booking.<\/p>\n\n\n\n

h. Any delay in the payment of the deposit or balance may result in the cancellation of your booking.<\/p>\n\n\n\n

2 – TRAVEL INFORMATION<\/strong><\/h2>\n\n\n\n

2.1. Passports and Visas<\/strong><\/h3>\n\n\n\n

All travellers listed on the Participant Information form must be in possession of a valid passport and all relevant visas. It is your responsibility to ensure that you have valid travel documentation, including but not limited to passports and visas, which meet the requirements of immigration and other government authorities at every destination. Please refer to your nearest Indian Consulate for more information regarding visa requirements. <\/p>\n\n\n\n

If your itinerary includes travel to any other country besides India, please check on visa requirements for each country that you will visit. All passports require at least 6 months of validity from the planned date of departure from India. Any fines, penalties, payments or expenditures incurred as a result of such documents not meeting the requirements of those authorities will be your sole responsibility.<\/p>\n\n\n\n

Attention<\/strong>: If your travel itinerary includes travel to India and any other country (Nepal, Bhutan, Tibet, Sri Lanka etc), you may require a multiple entry Indian Tourist visa. You will be required to present your travel itinerary and documentation at the time of application for the visa. Eastern Routes can provide you with the necessary travel documentation upon request.<\/p>\n\n\n\n

2.2 Non Transferable. <\/strong><\/h3>\n\n\n\n

It should be noted that all travel documents issued are non- transferable. Such documents may include but are not limited to, airline tickets, hotel vouchers, tour vouchers, exchange orders or any other document used to confirm an arrangement with a service provider. Such documents may also be subject to conditions such as, but not limited to, being non-refundable, non-date-changeable and subject to cancellation or amendment fees. <\/p>\n\n\n\n

2.3. Health and Safety Information. <\/strong><\/h3>\n\n\n\n

Eastern Routes advises you to regularly consult your country of residence\u2019s department of foreign affairs website. Here you will find any information pertaining to safe travel in India and its surrounding countries. Eastern Routes advises you to regularly consult the information provided by the proper authorities on the medical risks associated with travel to India or its surrounding countries. It is your responsibility to ensure that you are aware of any health requirements for your travel destinations and to ensure that you carry all necessary vaccination documentation. Please consult your travel doctor for more information. <\/p>\n\n\n\n

3 \u2013 CHANGES TO BOOKINGS PRIOR TO DEPARTURE<\/strong><\/h2>\n\n\n\n

All changes to bookings will incur charges. These charges can be up to 100% of the cost of the booking, regardless of whether travel has commenced. Where we incur any liability for a change fee or charge for any booking which you change, you agree to indemnify us for the amount of that fee or charge. Your refusal to pay any reasonable change fees will be regarded as a cancellation of your booking.<\/p>\n\n\n\n

Change fees for all confirmed bookings where a Booking Confirmation has been issued and a deposit has been received by Eastern Routes are detailed here with exception of cases covered at point 4.3 below:<\/p>\n\n\n\n

Changes made by you prior to departure: a change fee of (20 \u20ac), flight change fee (15 \u20ac per person per ticket plus any fare difference, except in the case of non changeable airfares, where 100% of the cost of the new ticket will be charged), any additional supplier change fees.<\/p>\n\n\n\n

Please advise Eastern Routes of the changes to your travel plans as early as possible by e-mail, telephone, or fax. Most hotels, airlines and suppliers charge a 100% cancellation penalty for changes to bookings between 7 days and 24 hours of departure. This may result in the forfeit of your deposit on these bookings. <\/p>\n\n\n\n

4 – CONDITIONS OF CANCELLATION<\/strong><\/h2>\n\n\n\n

All cancellations of bookings will incur charges. These charges can be up to 100% of the cost of the booking, regardless of whether travel has commenced. Where we incur any liability for a cancellation fee or charge for any booking which you cancel, you agree to indemnify us for the amount of that fee or charge.<\/p>\n\n\n\n

4.1. Cancellation<\/strong><\/h3>\n\n\n\n

To cancel your booking with Eastern Routes, please notify your travel insurance company and Eastern Routes in writing, stating the reason for the cancellation. Request an acknowledgement of receipt of your email or letter. Any cancellation fees will be calculated according to the date of receipt of the written advice of the cancellation of your booking. Please read your travel insurance policy carefully or contact your insurance provider to determine the policy conditions, level of cover and documentation required to make a claim against cancellation penalties charged by Eastern Routes or any of its suppliers.<\/p>\n\n\n\n
